GSTR-1 and GSTR-3B explained for small businesses

A plain-English introduction to GSTR-1 and GSTR-3B — what each return is, how they differ, and how good invoicing makes filing easier.

GSTR-1 is where you report the details of your outward sales, and GSTR-3B is a summary return where you declare your tax and pay it. Most regular GST-registered businesses file both. Understanding the split — detail versus summary — makes GST filing far less intimidating. Here is the plain-English version.

This is a general explainer, not tax advice. Return types, frequencies, and due dates change by notification and depend on your registration — always confirm the current rules for your business with the GST portal or your CA.

GSTR-1: the detail of your sales

GSTR-1 reports your outward supplies — essentially, the invoices you issued in the period. It captures details like invoice numbers, buyer GSTINs (for B2B), taxable values, and the tax charged. This is the return that feeds your buyers' input tax credit, because the system uses your GSTR-1 to populate what they can claim.

Because it is invoice-level, GSTR-1 is only as easy as your invoicing is clean. If your invoices already carry correct GSTINs, HSN/SAC codes, and tax splits, the data you need is already there.

GSTR-3B: the summary and the payment

GSTR-3B is a summary return. You declare your total outward tax, claim your eligible input tax credit, and pay the net GST due. It does not ask for invoice-by-invoice detail — it is the consolidated position for the period.

In practice, GSTR-1 tells the government what you sold; GSTR-3B is where you settle up.

How they fit together

  • GSTR-1 → invoice-level details of sales (feeds buyers' ITC).
  • GSTR-3B → summary of tax, ITC claimed, and tax paid.

The two need to be consistent. Mismatches between them are a common trigger for notices, so the figures should reconcile.

Frequency and due dates

Filing frequency (monthly or quarterly schemes) and due dates depend on your turnover and the scheme you are in, and they are revised from time to time. Do not rely on a fixed date from an old article — check the current calendar for your registration.
